ARTICLE 1

​

SECTION 1: NAME, COLORS, AND ADDRESS

​

  1. THE ORGANIZATION SHALL BE CALLED “MCHENRY COUNTY CHEERLEADING ACADEMY”.

  2. THE COLORS ARE RED, WHITE, AND BLUE. (PREDOMINENT COLOR BLUE/ SPLASHES OF RED)

  3. 1324 OAKVIEW TERRACE, WOODSTOCK, IL. 60098

SECTION 2: BOARD. THE BOARD SHALL MEAN THE BOARD OF DIRECTORS.

SECTION 3: THE CORPORATION SHALL BE SET FORTH AS A NON-FOR-PROFIT ORGANIZATION. TO BE OPERATED AS A 501 © (3) OF THE INTERNAL REVENUE CODE OF 1986, AS AMENDED, OR THE CORRESPONDING PROVISION OF ANY FUTURE FEDERAL TAX LAW SECTION 501 © (3). THE PURPOSE OF THIS CORPORATION ARE TO CREATE A SAFE, HONEST, AND POSITIVE ENVORONMENT FOR OUR CHILDREN THROUGH THE SPORT OF CHEERLEADING.

ARTICLE 2

​

MISSION/ PURPOSE

​

​MCHENRY COUNTY CHEERLEADING ACADEMY IS GIVING SMALL TOWN ATHLETES THE OPPORTUNITY TO MAKE THEIR PASSION A REALITY. MCCA IS DRIVE BY HONEST AND HARDWORKING COMMUNITY VOLUNTEERS AND UPSTANDING LEADERS WORKING TOGETHER AS ONE TO MAKE THEIR COMMUNITY A SAFER PLACE FOR THEIR CHILDREN. OUR STRUCTURE IS BASED ON POSITIVE ENFORCEMENT, HEALTHIER MENTALITIES, A COMFORTABLE ENVIRONMENT, HONEST COMMUNICATION, AND A LOT OF FUN.

THE PURPOSE FOR WHICH THIS CHARITABLE ASSOCIATION IS FORMED IS TO FURTHER PROMOTE THE PROGRESSIVE DEVELOPMENT OF THE SPORT OF YOUTH CHEERLEADING THROUGH ORGANIZATION, TRAINING, AND EDUCATION FOR OUR COMMUNITY AND ITS FOUNDING SUBURBS. OUR PROGRAM IS NONDENOMINATIONAL, NON DISCRIMITORY, AND UNBIASED.

​1. TO TRAIN, COACH, AND INSTRUCT A SUCCESSFUL CHEER AND TUMBLE PROGRAM WITH POSITIVE INFLUENCE IN A COMFORTABLE AND SAFE ENVIRONMENT. 

​

​2. TO INSPIRE THE COMMUNITY, SCHOOLS, CHURCHS, AND PARK DISTRICTS AROUND US BY SUPPLYING A WHOLESOME AND HONEST ORGANIZATION.

​

​3. TO MOTIVATE THE ATHLETES OF MCCA AND PRACTICE THE ART OF TEAMWORK, SPORTSMANSHIP, RESPECT, AND FAIR PLAY.

​

​4. TO ACCEPT DIVERSITY AND CULTURE WITH AN OPEN MIND AND HEART. 

​

​5. TO RESPECT THE MCCA FACILITY, AUTHORITY, OPPONENTS, AND ALL ATHLETES.

​

6. TO HELP OUR ATHLETES DEVELOP SELF CONFIDENCE AND FEELING OF ACCOMPLISHMENT.

​7. TO PROTECT OUR YOUTH AND PROMOTE A PROGRAM THAT IS DRUG-FREE

 

ARTICLE 3

​

MEMBERSHIP

​

THE GENERAL MEMBERSHIP OF THIS ORGANIZATION SHALL CONSIST OF PARENTS, GUARDIANS, SPECIFIC FAMILY VOLUNTEERS, ATHLETES/CHEERLEADERS, COACHES, JUNIOR COACHES, INSTRUCTORS, AND BOARD MEMBERS. ANY YOUTH MEMBER IS ALLOWED TO PARTICIPATE AS LONG AS THEY ARE WITHIN THE REQUIREMENTS SET FORTH BY THE TERMS OF MCHENRY COUNTY CHEERLEADING ACADEMY. ANY YOUTH ELIGIBLE BY AGE OR GRADE AS SET FORTH BY MCCA’S RULES AND REGULATIONS SHALL PARTICIPATE AND BE ELIGIBLE.

MCCA SHALL LET MEMBERS PARTICIPATE DESPITE FAMILY OR FINANCIAL HARDSHIPS. THE EXECUTIVE BOARD OF DIRECTORS SHALL VOTE ON THE ACCEPTANCE OF PARTICIPANT REQUESTS REGARDING FINANCIAL ASSISTANCE ASIDE FROM WHAT OUR PAYMENT PLANS OFFER.

ARTICLE 4

​

MEMBERS IN GOOD STANDING

​

A MEMBER, WHO IS IN GOOD STANDING, IS DEFINED AS A PARENT/GUARDIAN WHO IS ACTIVE WITHIN MCCA. THEY HAVE PAID ALL THEIR REGISTRATION & STATE FEES, VOLUNTEERED THEIR TIME DURING FUNDRAISING EVENTS, AND ARE ACTIVELY UP TO DATE ON ALL PAYMENTS, COSTS, OR ANY TYPE OF FUTURISTIC EXPENSES.

A MEMBER, WHO IS IN NEGATIVE STANDING IS A PARENT/ GUARDIAN WHO IS NOT ACTIVE WITHIN MCCA. THEY ARE NOT UP TO DATE WITH PAYMENTS OR THEY ARE BEHIND WITH PAYMENT ARRANGEMENTS. A NEGATIVE STANDING CAN MEAN THAT FEES HAVE NOT BEEN PAID ON TIME OR THAT VOLUNTEER HOURS HAVE BEEN MET.

A MEMBER THAT HAS BEEN REMOVED OR SUSPENDED FROM THE ORGANIZATION IS NOT IN GOOD STANDING. A MEMBER PUT ON PROBATION IS NOT IN GOOD STANDING. IF A MEMBER LIES ON THEIR BACKGROUND CHECK, PROMOTES PROFANITY OR IL INTENT ON THEIR SOCIAL MEDIA PAGES- THIS IS ALL FOLLOWS SUITE UNDER A NEGATIVE STANDING.

ARTICLE 5

​

BOARD OF DIRECTORS/ VOTING/ MEETING

​

1. GENERAL MEMBERS OF THE PUBLIC NEED TO BE AT LEAST 18 YEARS OLD TO ELECT A PERSON ONTO THE BOARD IF THERE IS AN OPEN POSITION AVAILABLE. THE EXECUTIVE DIRECTORS NEED TO HAVE GIVEN THEIR APPROVAL BEFORE ANY PUBLIC ANNOUCEMENT TO THE BOARD TAKES PLACE. THE PERSON WANTING TO APPLY FOR THIS OPEN POSITION DOES NOT GET A VOTE DURING THE VOTING PROCESS BUT DOES NEED TO PLEAD THEIR CASE AND EXPLAIN WHY THEY ARE A GOOD FIT FOR THIS POSITION.

2. BOARD MEETINGS SHALL RUN ONCE A MONTH AND ALL MEMBERS ARE TO BE PRESENT. THE EXECUTIVE BOARD MEMBERS WILL RUN THE MEETINGS WHILE THE SECRETARY TAKES NOTES DURING THE MEETING. MEETINGS WILL BE HELD IN SUCH A PLACE DESIGNATED BY THE EXECUTIVE DIRECTORS AND WILL DO SO IN AN OPEN SESSION BUT MUST BE PLACED ON THE MCCA CALENDAR AT LEAST A WEEK PRIOR TO EVERYONE KNOWING SO ARRANGEMENTS CAN BE PROPERLY MADE. ALL MEETINGS ARE CLOSED TO THE PUBLIC UNLESS INVITED GUESTS ARE APPROVED IN ADVANCE.

​3. THE MCCA BOARD OF DIRECTORS SHALL CONSIST OF A BOARD APPROVED PRESIDENT AND VICE PRESIDENT KNOWN AS THE EXECUTIVE DIRECTORS. OTHER MEMBERS OF THE BOARD SHALL CONSISTER OF A SECRETARY, TREASURER, AND CHEER DIRECTOR.

​

4. THE BOARD OF DIRECTORS CONSISTS OF THREE ACTIVE MEMBERS CURRENTLY AS THESE BY-LAWS ARE WRITTEN AND WILL NOT EXCEED FOUR INDIVIDUALS AT THIS TIME. THE TREASURER POSITION IS ON HOLD AND WILL BE TAKEN ON BY THE PRESEIDENT AND VICE PRESENT.

​5. THE EXECUTIVE BOARD OF DIRECTORS SHALL CONSIST OF THE PRESIDENT AND THE VICE PRESIDENT OF THE BOARD AND THEY HAVE THE AUTHORITY TO MAKE DECISIONS THAT NEED IMMEDIATE ATTENTION AND WILL HAVE AN IMPACT ON THE OPERATION OF MCCA ON AN URGENT BASIS OR UNTIL THE BOARD CAN BE UNIFIED AS ONE TO MAKE AN ULTIMATE DECISION.

​

​6. ALL NON-EXECUTIVE BOARD POSITIONS SHALL SERVE A 2 YEAR TERM. AFTER 2 YEARS, ALL POSITIONS ARE UP FOR RE-EVALUATION.

  • BOARD MEMBERS CAN CHOOSE TO CONTINUE THEIR COURTSHIP OR WRITE A LETTER/EMAIL STEPPING DOWN (6 MONTH NOTICE PREFERRED).

  • AT THE END OF THE 2 YEAR TERM, CURRENT BOARD MEMBERS ARE VOTED TO STAY IN THEIR CURRENT POSITIONS BY THE GROUP AS A WHOLE.

  • AT THE END OF THE 2 YEAR TERM, BOARD MEMBERS HAVE THE OPPORTUNITY TO TAKE AN ALTERNATE POSITION IF IT BECOMES AVAILABLE. 

  • EXECUTIVE BOARD MEMBERS HAVE THE AUTHORITY TO OVERRIDE THE BOARD AS A WHOLE IF THEY FEEL CERTAIN POSITIONS ARE NOT A GOOD FIT FOR THE ORGANIZATION. THEY CAN GIVE REASONS WHY THEY FEEL POSITIONS WITHIN THE BOARD SHOULD BE CHANGED.

  • EXECUTIVE BOARD MEMBERS WILL SERVE A 4 YEAR TERM AND DO NOT HAVE THE AUTHORITY TO BE REMOVED BY NON-EXECUTIVE BOARD MEMBERS UNLESS THEY VOLUNTARILY LEAVE THE PROGRAM OR PASS THEIR POSITION TO ANOTHER MEMBER WILLINGLY. 

  • EXECUTIVE BOARD MEMBERS WHO SERVE THEIR TERM AND THEN DECIDE TO LEAVE WILL NEED TO WRITE A LETTER OF DISMISSAL.

  • IF THE PRESIDENT OF THE ORGANIZATION LEAVES AFTER A 4 YEAR TERM THEN THAT POSITION RIGHTFULLY GOES TO THE VICE PRESIDENT.

  • IF THE VICE PRESIDENT OF THE ORGANIZATION LEAVES AFTER THEIR 4 YEAR TERM THEN THAT POSITION IS OPEN AND AVAILABLE FOR ANY BOARD MEMBER TO TAKE WITH THE CONSENT OF THE PRESIDENT.

​

​7. BOARD MEMBERS ARE REQUIRED TO ATTEND 8 OUT OF 12 MEETINGS PER CALENDAR YEAR. IF A BOARD MEMBER MISSES MORE THAN 4 MEETINGS IN A CALENDAR YEAR THEN THE BOARD IS SUBJECT TO VOTE ON A POSSIBLE DISMISSAL FOR THAT SPECIFIC BOARD MEMBER. 

  • CURRENT BOARD MEMBERS CAN APPLY FOR VACANT POSITIONS THAT BECOME AVAILABLE IF THEY SEE FIT WITH THAT POSITION.

  • CALLING INTO A MEETING VIA FACETIME IS ACCEPTABLE BUT IN PERSON IS PREFERRED.

8. IF A BOARD MEMBER HAS A SPECIFIC IDEA (EX: FUNDRAISING, NEW EQUIPMENT REQUEST), CONCERN (EX: DISAGREEMENT, ATHLETE INJURY) OR REQUEST; THE DISCUSSION SHOULD BE BROUGHT UP AND HANDLED AS FOLLOWS:

  • 1ST PRESENT THE IDEA, CONCERN OR REQUEST TO ONE OF THE EXECUTIVE DIRECTOR(S)

  • 2ND IF THE IDEA IS SOMETHING WE CAN HANDLE ON A SMALLER SCALE AND IT'S APPROVED BY THE EXECUTIVE BOARD THEN BEGIN THE STEPS OF PUTTING THAT IDEA INTO MOTION.

  • 3RD IF THE IDEA REQUIRES A VOTE THEN PREPARE TO PRESENT IT AT THE NEXT BOARD MEETING.

  • 4TH - IF THE BOARD VOTES AND IT'S A TIE  (2 AND 2) THE EXECUTIVE BOARD WILL HAVE THE ULTIMATE DECISION.

9. IF A BOARD MEMBER IS NOT CARRYING OUT THEIR RESPONSIBILITIES THEN A DETAILED DISCUSSION NEEDS TO HAPPEN AT THE NEXT BOARD MEETING. ALL MEMBERS NEED TO BE ON BOARD WITH POSITIVE BEHAVIOR, HEALTHY CHANGES, A CONFIDENT MINDSET, AND EFFECTIVE CRITICISM ESPECIALLY WHEN DEALING WITH SPECIFIC BOARD MEMBER ISSUES/ ATHLETES/ SITUATIONS AND CONDITIONS. 

​

10. ALL BOARD MEMBERS ARE REQUIRED TO ATTEND 2 OF THE 3 FUNDRAISING EVENTS SPONSORED BY MCCA EACH CHEERLEADING SEASON.

​

11. EACH BOARD MEMBER IS REQUIRED TO FIND 1, $500 SPONSOR EACH CALENDAR YEAR SUPPORTING MCCA ON OUR OWN.

​

12. BOARD MEMBERS ARE TO CONDUCT THEMSELVES IN A PROFESSIONAL MANNER AT ALL TIMES. THEY ARE TO HEAR BOTH SIDES OF EVERY STORY AND TO NOT TAKE SIDES NO MATTER WHAT. BOARD MEMBERS ARE NOT TO TALK BEHIND OTHER BOARD MEMBERS' BACKS AND TO BRING ANY CONCERNS WHATSOEVER TO THE MONTHLY BOARD MEETINGS. WE WANT TO REMAIN AS "DRAMA FREE" AS POSSIBLE AND WORK TOGETHER AS MUCH AS POSSIBLE. IT'S EASY TO GET SUCKED INTO FAKE NEWS AND FALSE STORIES BUT AS BOARD MEMBERS WE NEED UNDERSTAND OUR FOCUS.

13. BOARD MEMBERS ARE TO KEEP ALL FINANCIALS, CRITICAL MEETING INFORMATION, AND CLIENT INFORMATION BETWEEN OUR BOARD MEMBERS. BOARD MEMBERS ARE TO KEEP ALL INFORMATION DURING MEETINGS CONFIDENTIAL. IF ANYONE LEAKS CONFIDENTIAL INFORMATION OUT- THAT SPECIFIC BOARD MEMBER RISKS GETTING REMOVED FROM THE BOARD AND FROM THE PROGRAM.

14. THE EXECUTIVE BOARD MEMBERS HAVE FULL ACCESS TO THE MCCA CHECKING ACCOUNT. THE NON-EXECUTIVE BOARD MEMBERS HAVE THE RIGHT TO SEE THE CHECKING ACCOUNT WHENEVER POSSIBLE. THE PRESIDENT WILL ANNOUNCE MCCA'S FUNDS AT THE BEGINNING OF EACH MONTHLY MEETING.

15. BOARD MEMBERS WHO FINANCE FOR MCCA OR PUT FOURTH THEIR OWN MONEYS TOWARD THE PROGRAM WILL GET REUMBURSED FOR SAID AMOUNTS THEY HAVE CONTRIBUTED.

ARTICLE 6

​

DIRECTOR RESPONSIBILITIES 

​

​PRESIDENT (EXECUTIVE BOARD MEMBER)

​

FIRST AND FOREMOST- SHARED PARTNERSHIP BETWEEN JENNA MIDDLETON & AMY LUEBKE

1A. SHALL FIND AND SUSTAIN PROPER GENERAL LIABILITY INSURANCE FOR MCCA. SHALL MAKE SURE THAT PAYMENTS ARE MADE ON TIME AND THAT IT DOES NOT EXPIRE OR LAPSE OVEFR TIME.

​1B. SHALL FIND AND FURNISH A SUITABLE PRACTICE LOCATION AND MAKE SURE THAT THE FACILITY HOUSES PROPER GYMNASTIC MATS AND NECESSARY ATHLETIC EQUIPMENT THAT IS UP TO PAR WITH PROPER SAFETY EXPECTATIONS AND REGULATIONS.

​1C. SHALL PURCHASE MCCA UNIFORMS, PRACTICE WEAR, AND SPIRIT WEAR (IN THE INTERIM) UNTIL FUNDS ARE MADE BACK FOR REIMBURSEMENT.

1D. SCHEDULES MONTHLY BOARD MEMBER MEETINGS, INFORMATIONAL EDUCATIONAL PARENT MEETINGS, AND SENDS OUT EMAILS/ FLYERS REGARDING INFORMATION THAT NEEDS TO BE ADDRESSED WITH ATHLETES/ PARENTS. 

1E. ADDRESSES HOW MANY ATHLETES HAVE SIGNED UP FOR CHEER BASICS, TUMBLING, AND COMPETITIVE CHEER ON EACH MONTHLY MEETING

1F. HANDLES ALL UPDATES TO THE WEBSITE, CALENDAR FROM MCHENRYCOUNTYCHEERACADEMY.COM

​1G. HANDLING OF DISCIPLINARY ACTION, WRITE UPS, DISPUTES, INCIDENT REPORTS, AND OR ARGUMENTS. THEY CAN SUSPEND MEMBERS, ATHLETES, COACHES, VOLUNTEERS, WITHOUT BOARD APPROVAL. 

1H. COLLECTS PAYMENT FOR ALL CLASSES, COMPETITIONS, CAMPS, AND PROGRAMS. HAS ACCESS TO THE CHECKING ACCOUNT AND CAN WRITE CHECKS FOR COMPENSATION AND FOR EXPENSE REIMBURSEMENT. THE PRESIDENT KEEPS PAYMENT LOGS AND SETS UP PAYMENT PLANS FOR MCCA MEMBERS WITHIN THE ORGANIZATION. DURING THIS TIME - THE PRESIDENT WILL WORK CLOSELY WITH THE SECRETARY SO THAT THEY HAVE A LOG OF MEMBER PAYMENT HISTORY, STATUS, AND PROTOCOL. 

​1I. THE PRESIDENT CONDUCTS DAY-TO-DAY OPERATIONS WITHIN THE ORGANIZATION AND ALSO GIVES SUPPORT AND GUIDANCE TO THE VICE PRESIDENT.

​1J. THE PRESIDENT WILL BE THE PRIMARY ON CALL PERSON IN CASE OF EMERGENCY. THEY WILL MAKE SURE THE FACILITY HAS FOLLOWED ALL CITY ORDINANCES, SAFETY PROTOCOL, FIRE EXTINGUISHERS, HEALTH/SAFETY POSTERS, FACILITY HAS SANITIZING STATIONS, FIRST AID KITS, ICE PACKS, ALARM SYSTEM IN PLACE, ETC.  

​1K. THE PRESIDENT OVERSEES ALL SQUADS AND STAFF MEMBERS ALONG WITH OVERSEEING THE FUNDRAISING AND SPONSORSHIP PROGRAM.

​1L. SHALL HELP CONTROL, CREATE, IMPLEMENT, AND FOLLOW THROUGH WITH ALL THE MCCA BYLAWS.

1M. SHALL BE IN CHARGE OF DESIGNING AND DISBURSING ORGANIZATIONAL SURVEYS.

1N. ATTEND TOWNSHIP MEETINGS TO HELP STENGTHEN RELATIONSHIP WITHIN THE COMMUNITY.

​VICE PRESIDENT (EXECUTIVE BOARD MEMBER)

​

FIRST AND FOREMOST- SHARED PARTNERSHIP BETWEEN JENNA MIDDLETON & AMY LUEBKE

​2A. OVERSEES THAT GENERAL LIABILITY INSURANCE IS NOT EXPIRED AND IS BEING PAID ON TIME.

2B. SHALL WORK WITH DIFFERENT CHEER SHOPS AND DIFFERENT VENDORS TO FIND AFFORDABLE CHEERLEADING UNIFORMS THAT FIT WITHIN OUR BUDGET. SHALL GET 2-3 DIFFERENT TYPES OF PROTOCOLS FROM VENDORS AND SEE WHAT TYPE OF UNIFORM, SHOES, AND UNDER GARMENTS WOULD BE SUITABLE FOR MCCA. ALSO, THE VP WILL REPORT ANY ANTICIPATED EXPENSES TO THE SECRETARY DURING THIS TIME.

2C. ASSIST IN SCHEDULING MONTHLY BOARD MEMBER MEETINGS, INFORMATIONAL EDUCATIONAL PARENT MEETINGS, AND SENDS OUT EMAILS/ FLYERS REGARDING INFORMATION THAT NEEDS TO BE ADDRESSED WITH ATHLETES/ PARENTS. 

2D. RESPONSIBLE FOR SETTING UP SPORTS MANAGEMENT SOFTWARE (EXAMPLE: SPORTSENGINE, GAMECHANGER, TEAM SNAP, ETC.) ALSO, THE VP WILL REPORT ANY ANTICIPATED EXPENSES TO THE SECRETARY DURING THIS TIME.

2E.. HANDLING OF DISCIPLINARY ACTION, WRITE UPS, DISPUTES, INCIDENT REPORTS, AND OR ARGUMENTS. THEY CAN SUSPEND MEMBERS, ATHLETES, COACHES, VOLUNTEERS, WITHOUT BOARD APPROVAL

2G. THE VP CONDUCTS DAY-TO-DAY OPERATIONS WITHIN THE ORGANIZATION AND ALSO GIVES SUPPORT AND GUIDANCE TO THE PRESIDENT. THEY WORK TOGETHER AS ONE.

​2H. THE VP WILL BE THE SECONDARY ON CALL PERSON IN CASE OF EMERGENCY. THEY WILL MAKE SURE THE FACILITY HAS FOLLOWED ALL CITY ORDINANCES, SAFETY PROTOCOL, FIRE EXTINGUISHERS, HEALTH/SAFETY POSTERS, FACILITY HAS SANITIZING STATIONS, FIRST AID KITS, ICE PACKS, ALARM SYSTEM IN PLACE, ETC.  

2I. THE VP OVERSEES ALL SQUADS AND STAFF MEMBERS ALONG WITH OVERSEEING THE FUNDRAISING AND SPONSORSHIP PROGRAM.

2J. RESPONSIBLE FOR DOING ALL BACKGROUND CHECKS ON ALL INTERESTED COACHES, JUNIOR COACHES, INSTRUCTORS, PARENT VOLUNTEERS, AND HELPERS. THIS JOB IS A SHARED POSITION WITH THE SECRETARY. AFTER THIS IS COMPLETED, COPIES OF THIS WILL BE KEPT WITH PRESIDENT AND SECRETARY IN THE MCCA OFFICE.

2K. MANAGE THE CHEOGRAPHY VENDOR SELECTION PROCESS AND WORKS WITH THE CHEER DIRECTOR AND COACHES TO ENSURE THAT THE NEEDS OF EACH SQUAD ARE MET.

2L. SHALL HELP CONTROL, CREATE, IMPLEMENT, AND FOLLOW THROUGH WITH ALL THE MCCA BYLAWS.

2M. SHALL ATTEND TOWNSHIP MEETINGS TO HELP STENGTHEN RELATIONSHIP WITHIN THE COMMUNITY.

2N. SHALL ASSIST IN DESIGNING AND DISBURSING ORGANIZATIONAL SURVEYS.

3A. SHALL ISSUE NOTICES OF BOARD MEETINGS TO ALL BOARD MEMBERS.

​3B. RESPONSIBLE FOR RECORDING NOTES, TAKING MINUTES, AND ATTENDANCE DURING ALL MONTHLY MEETINGS. 

3C. THE SECRETARY WILL COORDINATE SPACE AND MAKE SURE EVERYONE HAS ROOM AND TIME TO TALK DURING ALL MEETINGS.

3D. THE SECRETARY IS RESPONSIBLE TO MAKE SURE THAT WE AS AN ORGANIZATION ARE FOLLOWING SAID BY-LAWS.

3E. THE SECRETARY WILL BE IN CHARGE OF MCCA REGISTRATION. THEY WILL MAKE SURE THAT FORMS ARE FILLED OUT CORRECTLY AND THAT ALL NECESSARY INFORMATION IS COLLECTED AT THE TIME OF REGISTERING.

3F. THE SECRETARY IS IN CHARGE OF MAKING SURE THAT PAYMENT ARRANGEMENTS ARE ACCEPTED AND THAT CERTAIN FORMS ARE FILLED OUT TO THE BEST OF THEIR ABILITIES.. THEY ARE RESPONSIBLE IN GETTING THE CORRECT BILLING INFORMATION SO THAT WE CAN COLLECT PAYMENT AT THE TIME IN WHICH WE NEED IT.

3G. THE SECRETARY WILL BE IN CHARGE OF MAKING SPREADSHEETS OF OUR MEMBERS WHO ARE ON PAYMENT PLANS AND WHEN WE NEED PAYMENT RECEIVED. 

3H. THE SECRETARY WILL WORK CLOSELY WITH THE VICE PRESIDENT IN REGARD TO BACKGROUND CHECKS TO MAKE SURE EVERY SINGLE MCCA MEMBER IS SAFELY CHECKED. THE SECRETARY WILL KEEP A TALLY OF WHOSE BACKGROUND CHECK NEEDS RENEWAL AND WHOSE HAS EXPIRED.

3I. THE SECRETARY WORKS CLOSELY WITH EACH MEMBER OF MCCA TO ENSURE SOCIAL MEDIA PAGES ARE CLEAN AND PROFESSIONAL DURING THE FALL CHEERLEADING SEASON. IF SOCIAL MEDIA PAGES SHOW ANY NEGATIVE INDICATION OF UNRULY BEHAVIOR OR IMPROPER CONDUCT THEN THE SECRETARY WILL IMMEDIATELY BRING SUCH AWARENESS TO THE BOARD. 

​3J. THE SECRETARY WILL WORK CLOSELY WITH THE PRESIDENT AND CONTACT ATHLETES THAT HAVE NOT MADE PAYMENT. THEY WILL KEEP A DETAILED LOG/SPREADSHEET OF NON-PAYMENTS AND PAST DUE PAYMENTS THE SECRETARY WORKS CLOSELY WITH THE PRESIDENT DURING THIS TIME.

​3K. THE SECRETARY WILL BE RESPONSIBLE IN SETTING GOALS FOR MCCA ON HOW WE CAN INCREASE SALES AND BOOST REVENUE.

​3L. THE SECRETARY SHALL IMPLEMENT AND FOLLOW THROUGH WITH THE MCCA BYLAWS.

CHEER DIRECTOR

​

4A. ENSURE THE PROPER CODE OF CONDUCT AS PER THE MCCA GUIDELINES.

4B. THE CHEER DIRECTOR IS RESPONSIBLE FOR WORKING DIRECTLY WITH COACHES, JUNIOR COACHES, VOLUNTEERS, INSTRUCTORS, AND PARENT HELPERS. THEY ARE THE LIAISON BETWEEN THE BOARD OF DIRECTORS AND MCCA.

​4C. THE CHEER DIRECTOR ENFORCES PROPER RULES AND REGULATIONS WHEN IT COMES TO PRACTICES, STATE COMPETITIONS, AND MCCA EVENTS. THEY SET THE TONE FOR BEHAVIOR, ATTITUDE, HOW THE ORGANIZATION IS VIEWED AS A WHOLE AND THEY ARE LITERALLY THE FACE OF MCCA. THEY MUST DISPLAY A POSITIVE ATTITUDE IN FRONT OF ALL PARENTS, COACHES AND ATHLETES AND BE THE PERSON TO STOP ANY NEGATIVE BEHAVIORS, PESSIMISTIC CONVERSATIONS, OR DISHONEST TALK. THEY ARE TO NOT FEED INTO DRAMA BUT TO STOP IT DEAD IN ITS TRACKS AND TO ACT AS LEADERSHIP AND HAVE POSITIVE BEHAVIOR, CONSTRUCTIVE CRITICISM, AND OBJECTIVE PROBLEM SOLVING.

​4D. THE DIRECTOR OF CHEER LEADS OUR ATHLETES WITH THE UTMOST OF PRIDE AND DIGNITY.

4E. THE DIRECTOR IS THE PRIMARY CONTACT WHEN WORKING WITH THE ICA (ILLINOIS CHEER ASSOCIATION). THE CHEERLEADING DIRECTOR WILL ATTEND ALL MEETINGS IN RELATION TO THE ICA AND MAKE SURE WE ARE FOLLOWING ALL NECESSARY RULES AND REGULATIONS ACCORDING TO ICA STANDARDS. THE CHEERLEADING DIRECTOR WILL ALSO KEEP ALL PARENTS INFORMED OF SPECIFIC CHEER INFORMATION, CHANGES, AND UPDATES TO SCHEDULING OR PRACTICES. KEEP AN OPEN REPLATIONSHIP WITH THE IRA AND ICA DURING CHEER SEASON. MAKE FRIENDS WITH MAGGIE AT THE ICA.

4F. REGISTER ALL SQUADS FOR REGULAR SEASON AND STATE COMPETITIONS.

4G. OBSERVE AND GUIDE WHEN REQUIRED ANY COACH OR TEAM IN NEED OF ATTENTION AND PROVIDE DIRECTION THAT WILL BENEFIT IN A POSITIVE WAY.

4H. THE VICE PRESIDENT IS IN CONTROL OF WHO IS HIRED/FIRED WITHIN MCCA. THE VICE PRESIDENT NEEDS TO FULLY INVEST TIME IN TRUSTING THE STAFF THEY HIRE AND HAVE THE BEST INTEREST OF MCCA AND OUR ATHLETES AT HEART. HIRING INCLUDES:

 

  • 1 HEAD COACH FOR EACH SQUAD

  • 1 ASSISTANT COACH FOR EACH SQUAD

  • 1 JUNIOR COACH FOR EACH SQUAD

  • 1 PARENT HELPER FOR EACH SQUAD

  • 1 TUMBLING INSTRUCTOR 

  • 1 TUMBLING ASSISTANT INSTRUCTOR

4I. THE NUMBER OF SQUADS WE HAVE AT MCCA IS CONTINGENT ON HOW MANY ATHLETES SIGN UP. 

4J. THE CHEER DIRECTOR IS RESPONSIBLE FOR SCHEDULING A COMPLETE BACKUP PLAN OR FOR HAVING A BACKUP PLAN IN PLACE FOR ALL COACHES AND INSTRUCTORS IN THE EVENT A COACH OR INSTRUCTOR CALLS IN SICK OR CALLS OFF.

4K. RESPONSIBLE FOR SETTING UP ALL CHEER OR TUMBLING CLASSES WITH ALL HEAD COACHES AND INSTRUCTORS. THEY ARE ALSO IN CHARGE OF SETTING UP SUMMER CAMP DATES AND TIMES. WHEN THIS IS DONE THE VICE PRESIDENT IS RESPONSIBLE FOR COMMUNICATING ALL SCHEDULING DATES/TIMES WITH THE PRESIDENT.  

4L. IF A CHILD HURTS THEMSELVES AT A MCCA PRACTICE, COMPETITION, OR EVENT THEN THE CHEERLEADER DIRECTOR HAS 24 HOURS TO FILE AN INJURY REPORT WITH MCCA TO HAVE ON RECORD. 

​4M. THE CHEER DIRECTOR IS IN CHARGE OF COLLECTING ALL THE SIZING OF THE ATHLETES AND RELATING THAT SPECIFIC INFORMATION OVER TO THE PRESIDENT. THIS INCLUDES COMPETITION UNIFORMS, TSHIRTS, SWEATSHIRTS, SOCKS, JUMP SUITES, JACKETS, AND SHOE SIZES. ALSO IN CHARGE OF DUSBURSEMENT OF UNIFORMS.

​4N. THEY'RE RESPONSIBLE FOR COMMUNICATING THE NEEDS AND WANTS OF WHAT THE ATHLETES AND INSTRUCTORS NEED IN ORDER TO SUCCEED AT MCCA. THIS ROLE IS ALSO HUGE WHEN IT COMES TO TIME INVESTMENT.

​4O. THE CHEER DIRECTOR SHALL IMPLEMENT AND FOLLOW THROUGH WITH THE MCCA BYLAWS.

​ARTICLE 7


ATHLETES & MEMBERS

​

1. ANY PERSON WHO HAS ENROLLED THEIR CHILD/ATHLETE INTO MCCA SHALL BE SUBJECT TO THE BY-LAWS.

2. ANY PERSON WHO HAS ENROLLED THEIR CHILD/ATHLETE INTO MCCA SHALL PARTICIPATE IN A MINIMUM OF 2 MANDATORY FUNDRAISERS PER CHEERLEADING SEASON. 

3. UPON REGISTRATION ALL MEMBERS WILL MUST WRITE A PRE-WRITTEN, REFUNDABLE CHECK IN THE AMOUNT OF $50 TO THE MCCA. CHECKS WILL BE CASHED AT THE END OF THE SEASON IF THE ATHLETE OR THE ATHLETES’ FAMILIES HAVE NOT PARTICIPATED IN THE 2 MANDATORY FUNDRAISERS REQUIRED BY THE MCCA. IF THE ATHLETE OR THE ATHLETE’S FAMILY HAVE PARTICIPATED IN ALL 2 FUNDRAISERS, THE PRE-WRITTEN CHECK WILL BE RETURNED AND THEY WILL NOT BE CHARGED. ALL PRE-WRITTEN CHECKS WILL BE HELD AT THE BEGINNING OF THE SEASON UPON REGISTRATION AND WILL NOT BE CASHED.

4.  MEMBERS ARE REQUIRED TO VOLUNTEER THEIR TIME (SEPERATE FROM FUNDRAISING) AT MCCA EVENTS TO HELP SUPPORT THE ORGANIZATIONS EFFORTS TO IMPROVE PUBLICITY, ADVERTISING, AND PROPER PROMOTION. MEMBERS ARE REQUIRED TO DONATE 10 HOURS OF THEIR TIME ONCE A SEASON. 

5. MEMBERS CAN BE DISQUALIFIED BY NOT CONFORMING TO THE BY-LAWS. THE BOARD OF DIRECTORS CAN AND WILL USE THEIR DISCRETION TO VOTE PEOPLE OUT WITHIN MCCA IF THAT ARE NOT IN GOOD STANDING, NOT A GOOD FIT FOR THE MCCA ORGANIZATION, OR A PROPER FOLLOWER OF THE BY-LAWS. 
 

ARTICLE 8

RULES & REGULATIONS

​

1. EVERY CHILD/ATHLETE PARTICIPATING IN MCCA MUST FILL OUT A REGISTRATION FORM AND ALL FORMS MUST BE SIGNED BY A PARENT OR LEGAL GUARDIAN. 

2. EVERY CHILD/ATHLETE MUST FOLLOW THE ATTENDANCE POLICY SET FORTH BY THE COACH OR LEADER OF THAT SPECIFIC CLASS. THE COMPETITION ATTENDANCE POLICY WILL BE SET BEFORE EACH SEASON STARTS. IF ANY CHILD/ATHLETE IS IN VIOLATION OF THE ATTENDANCE POLICY, THEY WILL BE IN JEOPARDY OF COMPETING IN COMPETITIONS. THERE ARE NO REFUNDS ISSUED FOR STATE COMPETITIONS IF MISSED.

​3. A $25.00 FEE WILL BE CHARGED FOR CHECKS THAT HAVE BOUNCED OR THAT READ NSF.

​4. CHEERLEADER RULES/REGULATIONS ARE TO BE FOLLOWED AT ALL TIMES.

5. ALL ATHLETES/CHEERLEADERS ARE TO FOLLOW THE BY-LAWS OF MCCA. 

​5A. ALL CHEERLEADERS MUST WEAR PROPER UNIFORMS AND MCCA ATTIRE TO COMPETITIONS, PRACTICES, AND EVENTS. CHEERLEADERS ARE TO FOLLOW AN APPROPRIATE CODE OF CONDUCT AND DRESS IN PROPER ATTIRE WITHOUT HOLES, DIRTY CLOTHING, AND OR SLANG CLOTHING. 

​5B. ALL UNIFORMS ARE TO BE KEPT CLEAN AND PRESENTABLE AT ALL TIMES. ANY UNIFORM DAMAGES DUE TO IMPROPER CARE THAT REQUIRE A REPLACEMENT WILL BE SUBJECT TO THE ATHLETE PAYING FOR THE DAMAGED UNIFORM OUT OF POCKET. 

​5C. NO REFUNDS WILL BE GIVEN AT ANY TIME.

​5D. ATHLETES ARE EXPECTED TO ATTEND ALL PRACTICES. ANY CHEERLEADER MAY BE DROPPED FROM THE TEAM AFTER (3) UNEXCUSED ABSENCES. 

​5E. ALL ATHLETES ARE EXPECTED TO SHOW POSITIVE SPORTSMANSHIP AT ALL TIMES.

​5F. MCCA IS NOT RESPONSIBLE FOR ANY ATHLETES GETTING HURT OR INJURED AT THE MCCA FACILITY, PRACTICE LOCATION, TEMPORARY LOCATION, AT AN EVENT, OR IN THE PARKING LOT AT MCCA. IF THERE IS AN INJURY- MCCA IS NOT LIABLE OR RESPONSIBLE FOR ANY UNFORSEEN INJURIES TAKEN ON BY THE ATHLETE/CHILD. 

​5G. ALL ATHLETES AND PARENTS JOINING MCCA UNDERSTAND THAT THEY WILL NOT HOLD MCCA LIABLE FOR ANY INJURIES THAT MAY HAPPEN IN THE FUTURE. PARENTS AND ATHLETES AGREE NOT TO SUE MCCA OR TAKE MCCA TO COURT FOR ANY UNFORESEEN INJURIES THAT MAY HAPPEN DURING PRACTICES, TRAININGS, COMPETITIONS, OR STUNTING.
